The OECD has earned a leading role in financial and enterprise issues. In line with the Strategic Orientations of the Secretary-General and his “21 for 21 agenda”, the core mission of the OECD’s Directorate for Financial and Enterprise Affairs (DAF) is to assist markets to fund inclusive economic growth, and in turn Better Lives, through setting and implementing standards, providing capacity building and technical assistance, acting as a forum for co-operation and collaboration across the OECD Directorates, external stakeholders and International Organisations. DAF’s work is structured under two work areas - Conduct and Markets - and its mission is pursued through seven substantive divisions whose teams provide member and partner countries with policy guidance, analysis and support in the areas of competition, anti-corruption, corporate governance and corporate finance, responsible business conduct, financial markets, consumer finance, insurance and pensions and international investment. DAF currently employs about 240 staff members (economists, lawyers, statisticians, support staff, consultants and interns), who support work across a broad range of policy areas.

 

The Directorate is looking for several Project Assistants with excellent communication and organisational skills to provide support to the global outreach programmes and voluntary contributions (VCs)-related projects of the Divisions. The selected candidates will work with the Divisions' management team under the general supervision of a Head of Division and relevant project managers.

Job Description

Main responsibilities

 Meetings and conferences

  • Prepare and service in person and virtual meetings organised by the Division
  • Book and prepare conference rooms and equipment. Handle any other practical arrangements including contracting of conference or hotel facilities, interpretation, lunches, coffees and receptions in Paris or abroad.
  • Disseminate relevant materials to participants, issue invitations and register delegates, manage participant lists, prepare PowerPoint presentations.

 Documents, publications and web support

  • Prepare documents, reports and publications in ONE , including texts, tables and graphs, for official use in both official languages (English and French) and according to OECD standards, including proofreading, editing and formatting.
  • Liaise with the appropriate services for document translations and publications.
  • Update the intranet and community webpages, as required.

Administrative Support

  • Organise missions for Division staff members, consultants and experts, including travel arrangements, hotel bookings, visa applications, preparation of mission orders and expense claims in SAP.
  • Prepare intellectual service contracts, invitation letters and follow-up actions, such as payments for the Global Relations programme and other VC-related projects.

Other tasks

  • Prepare messages to delegates, maintain mailing lists using the EMS database and update the contacts list as appropriate. Manage the correspondence coming through the generic account of the division and ensure emails are distributed to relevant teams in a timely manner.
  • Carry out other secretarial duties such as drafting routine correspondence, filing, archiving, maintaining information files and publications, tracking requests and projects to ensure that deadlines are respected.
  • Work in close collaboration with the other assistants in the Division and act as their back-up when required.

 

Qualifications

Ideal Candidate Profile

Academic Background

  • Secondary education.
  • Good drafting skills.

Professional Background

  • Minimum 2 years of previous experience in administrative and/or secretarial work, preferably in an international environment.
  • Proven experience with organising large-scale meetings and events, travel and document formatting.

Tools

  • Excellent knowledge and experience in MS Office Suite (Word, Excel, Outlook, PowerPoint) and in software and applications used in the OECD (ONE, EMS/CRMS, SAP, PRISM, SRP, SRM).

Languages

  • Fluency in one of the two official languages of the Organisation (English and French) and good knowledge of the other, with a commitment to reach a very good working level.

    Contract Duration

    • 12 months fixed term appointment, to start as soon as possible, with the possibility of renewal.
    • Salary and conditions are defined by the salary scale in use for temporary staff.
